AR Customer - Customer tab

Navigator > Maintain > Accounts Receivable > Customers > Customer tab

View and add details for a customer.

Select Customer

Select the customer code. Search for a customer using the Accredo Lookup.

Customer Name

Displays the customer name. (Read-only)

Currency

Displays the customer currency. (Read-only)

Toolbar

ToolbarExpand

Expand Toolbar (Alt+F9)

Expand the toolbar to give access to all toolbar options. Press ESC to close the expanded toolbar.

Edit (F11)

Enter edit mode, to edit the customer details.

Insert (F4)

Click to add a new Customer.

Duplicate (Shift+F4)

Duplicates the opened customer.

Delete (F3)

If active documents or transactions exist for the record, delete will not be allowed.

Print Sheet (Ctrl+P)

Prints the AR Customer Sheet for the current customer.

ActionLabel

Print Label (Ctrl+L)

Prints labels for the current customer, using AR Customer Labels.

ActionPrintDocument

Print Statement (Alt+I)

Prints a customer statement for the period selected, using AR Print Statements.

 

Customise Toolbar

ToolbarExpand Customise Toolbar or right-click in the toolbar below the buttons to access the Customise Toolbar Menu.

Customer Tab

Customer Code

Must be a unique code consisting of up to sixteen numbers or letters, or a combination of both. Data can only be entered for new customers.

Valid characters for new Customer Codes are A-Z, 0-9 by default. Other characters to allow may be specified in AR Settings Misc tab.

Customer Name

Name of the customer.

Trading Name

Trading name of the customer if it differs from the Customer Name.

Address Lines 1 - 5

Customer address.

Note: You can change the labels of the address fields in Company Settings - Display Labels.

Country

Enter the first two letters for the country, will auto complete from the ISO country code.

Post Code

Customer post code.

Click CoordinatesGet Get Coordinates to find the geo coordinates for the address.

Click CoordinatesEdit Edit Coordinates to edit the geo coordinates.

Click CoordinatesMap Map Coordinates to open a map in the default web browser set to the geo coordinates or address.

Note: The Company.OnGeoCode and Company.OnMap Script Events must be assigned to access the corresponding geo location functions.

Web Address

Enter the customer web address.

Click Visit web site (Ctrl+W) to go to the website.

Email Address

Maximum 120 characters. You must have MAPI compliant email or SMTP configured. Click to create a Mail Message (Ctrl+M), or add the Email Address to a Batch Email (Ctrl+B).

Currency

The customer currency, will default from the Country selected.

Customer Group

Select the group the customer belongs to. Setup from Navigator > Maintain > Accounts Receivable > Customer Groups. Tax regime, GST override, Statement Aging, Payment and Discount terms default from the Group for Normal and One-time Customers.

Customer Type

Select the customer type from:

  • Normal - customers with credit accounts, full functionality.
  • Prospect - restricted to Quote documents only.
  • Cash - restricted to Cash Sale invoices only.
  • One-time - expected to be single invoice and receipt but not a cash sale.

User permissions can limit the permitted customer types.

One-time and Cash customers may be inactivated automatically at EOP. See AR Settings - Period tab.

Sales Area

The Sales Area is a geographical or other classification with an 8 character code for Sales Analysis. Setup from Navigator > Maintain > Sales Areas.

Sales Person

The default Sales Person code for the customer. Will appear in the invoice header but can be overwritten. Setup from Navigator > Maintain > Accounts Receivable > Sales Persons.

Branch

Department

Location

The default Branch, Department and Location for the Customer. Optional. (Accredo Saturn Only)

 

Category 1

Category 2

Maintain from Navigator > Maintain > Accounts Receivable > Categories, or click on the Lookup.

Phone Nos

Customer telephone numbers. If Accredo is setup to interface with the telephone system, click  to dial.

Note: You can change the labels of the phone no fields in Company Settings - Display Labels.

Other Party Code

The code the customer uses to refer to you.

Comment

A 30 character field. It can be used as a reference, and filtered for on reports or Lookups.

Regime Code

The Tax Regime for the Customer, set up in Tax Regimes. The Tax Regime must either be in the Customer's currency or the Base currency.

The Regime can only be changed if:

  • All transactions are fully allocated,
  • There are no current documents with the previous regime code,
  • Price code is not Inclusive in a currency different from the regime currency, and
  • There are no Bill From Customers with a different Regime Code.

GST Override

Defaults from the Customer Group (can be changed).

If a GST Override code is entered, it is used for all Invoice lines for the customer. GST override is useful for specifying export customers as zero-rated. In most cases, leave Clear.

Tax No

The Customer's tax number. (Shows the Tax No Name set in Tax Regimes.)

Tax Business No

The Customer's business tax number. (Shows the Business No Name set in Tax Regimes.)

Bill To Customer

Allows central billing. If you select the code for another customer, when an invoice or credit is processed for this customer, the balance and transaction will appear against the Bill To Customer, however all sales information will appear on the customer selected. Sales Area analysis will be updated based on the customer invoiced, not the Bill To Account. If receipts or journals are entered, they go to Bill To Account also. Typically receipts are entered to the Head Office account only. Bill To Customer cannot be set if the customer has an outstanding balance. Bill To Customer must have the same Tax Regime as the Customer.

Price Code

Specify the Price code the customer will be invoiced from. Price codes are used to specify different Selling Prices in IC. Even without IC installed you can specify a Price code to select GST exclusive or GST inclusive invoicing as a default for a customer, see Company Price Lists, for setting GST exclusive or inclusive Price codes.

The GST basis for Special Pricing is based on the Price code. Special Pricing has a significant effect on prices and margins.

Discount Code

The range of discounts that apply to customers and products for invoicing. Click Open Discount Schedule to see the Discount Schedule.

Auto Allocate

Select the default to auto allocate for the Customer. Set the default in AR Settings.

  • All - Transactions will be allocated against the oldest outstanding balance.
  • Whole Balances - If the transaction would clear one or more whole outstanding balances, for example Balance 3, or Balance 3 + Balance 2, or Balance 3 + Balance 2 + Balance 1 etc., then allocation will be automatic, otherwise the user will be prompted for immediate allocation.
  • None - The User will be prompted to allocate.

Credit Limit

The Credit Limit applied to the customer. Credit limit is tested against the outstanding balance and the document or transaction being entered or posted, it does not consider other unposted documents.

Credit Limits are controlled by the AR\Customers\Credit Limits permission.

  • Control permission is required to edit the Customer credit limit and to post invoices or transactions where the Credit Limit is exceeded.
  • Write or Control permission allows saving documents where Credit Limit is exceeded.
  • Read or None permission credit limits are enforced.

Blank, no credit limit applies to the customer.

Stop Credit

Selected, stop credit applied (permission dependent), an invoice or sales order cannot be saved for the customer.

If the customer is a Bill From customer (has a Bill To customer), and the Bill To customer has a stop credit applied, the stop credit will apply to the Bill From customer.

User Permission can be set for when a Stop Credit is applied to Stop Credit Strictly Enforced, Cash Sales Permitted, or Warning Only.

Order No Required

Selected, to save an invoice or sales order for a customer you must enter their Order number (useful for customers that will only pay invoices with an Order number).

Back Order

Clear, customer does not accept Back-orders.

Selected, when you enter a sales order, back-ordering is triggered for customers who accept Back-orders.

Inactive

Customers marked inactive will be hidden from view with financial information and history retained for reporting. Inactive records can be opened by clicking ctrlImageHideInactive Display Inactive Records (Ctrl+I) on the Lookup or selecting Display Inactive Records from the right-click menu. If you select Display Inactive, items will display dimmed in lists. Many report selections have an option to show records that include information for inactive accounts. Only records with no unallocated transactions and no active orders or invoices can be made inactive, for example, customers you no longer supply. Customers no longer in use can be made inactive.

When you set a Customer to Inactive, all Contacts for the Customer will also be set to Inactive. Re-activating a Customer will re-activate the Contacts for the customer. Future budgets for the customer will still be available.

Terms

Payment Due

Select the time period invoices are due, from:

  • Period
  • Number of months
  • Number of weeks
  • Number of days

Day of Month

When the Payment Due period is set to a number of Months, set the Due day of month.

Discount (%)

The Percentage discount customer will receive for prompt payment.

Discount Available

The time period the customer must pay in to receive the prompt payment discount.

Day of Month

When the Discount Available is set to a number of Months, set the Day of the month the customer must pay by.

Statement Style

Select the default statement style. Set the default in AR Settings.

  • Balance forward - transaction information is consolidated into an account total that is brought forward at the beginning of each period.
  • Open item - individual transaction information is detailed on the customer statements until the transaction is paid.
  • None - The customer is excluded from batch printing and emailing of statements. If a statement is manually printed for the customer, you will be prompted for a statement style.

The StatementStyle function in the Statement Designer returns the Statement Style for the Customer.

Statement Aging

Select the statement aging time frame, from:

  • Period
  • Number of months
  • Number of days

Primary Contact panel

Displays Contact details from the Contacts tab.

Opens Customise Fields, you can customise the fields visible in the panel.

Contact

Customer contact name.

Phone Nos

Customer telephone numbers. If Accredo is setup to interface with the telephone system, click  to dial.

Email

The contact email address. Click the select to create a mail message, or add the email address to a batch email.

ActionList

Bill From Customers

Active if the customer has Bill From Customers. A list of customers who Bill From the customer will appear. See AR View Bill From Customers.
